Keeping Track of Your NDIS Spending

One of the quiet worries many people carry with their NDIS plan is: *am I spending too fast, or not enough?* It's a fair question. Funding needs to stretch across the whole plan period, and running short halfway through is stressful — but so is leaving funds unused that could have helped you.

The reassuring news is that keeping track of your spending doesn't take an accountant. A few simple habits will do it. Here's how, for people and families across Epping, Mortlake and the Inner West.

Know what's in your plan

You can't track what you don't understand, so start with the basics. Your plan splits funding across categories:

  • Core Supports — everyday help, like a support worker
  • Capacity Building — building skills and independence
  • Capital Supports — equipment or home modifications

Use the tools that match your plan management

How you keep track depends a little on how your plan is managed:

  • Self-managed — you handle payments, so you'll keep your own records of invoices and receipts
  • Plan-managed — your plan manager tracks payments and can send you regular statements
  • NDIA-managed — you can view spending through the myplace participant portal

Whatever your type, the myplace portal is a handy way to see your budgets and what's been claimed.

Set up a simple system

You don't need fancy software. A system that works might be as simple as:

  • A folder (paper or digital) for every invoice and receipt
  • A basic spreadsheet, or even a notebook, listing the date, amount and category
  • A regular time — say, once a fortnight — to update it

The key isn't sophistication, it's consistency. A few minutes regularly beats a panicked catch-up later.

Do a quick monthly check

Once a month, take ten minutes to ask yourself:

  • How much have I used in each category so far?
  • Am I on track for the funding to last the whole plan?
  • Is anything being claimed that I don't recognise?
  • Am I using my Capacity Building funds, or letting them sit?

Watch for the common pitfalls

A few things trip people up more than others:

  • Spending fast early and running short near the end
  • Forgetting Capacity Building exists
  • Not checking invoices, so errors slip through
  • Mixing up categories and assuming one budget can cover everything

A monthly check catches almost all of these before they become a problem.

What to do if you're off track

If you realise you're spending faster than you should, don't panic. You have options:

  • Adjust how often you use certain supports
  • Talk to your support coordinator about pacing
  • Speak to your provider about flexible scheduling
